The Head of Business Improvement has submitted a report which presents an updated Data Protection Policy for approval.

 

Recommendation: That the City Executive Board resolves to:

1.    approve the Data Protection Policy.

The Head of Business Improvement submitted a report which presented an updated Data Protection Policy for approval.

 

Cllr Brown, Board Member Customer Services and Corporate Services, presented the report.  The Chief Technology and Information Manager informed the Board that this was a straightforward refresh of the existing policy and that there were no new provisions.  He said that he was pleased to note a more general awareness amongst all staff of the importance of data protection and less reliance on the data protection policy specialists. He confirmed that the new ICT service providers were fully compliant on data protection.

 

The City Executive Board resolved to:

1.    Approve the Data Protection Policy.

The Head of Business Improvement and Technology has submitted a report which proposes minor changes to the current Data Protection Policy to keep it in line with best practice and new guidance issued by the Information Commissioner.

 

Officer Recommendations: That the City Executive Board endorse the amendments to the Data Protection Policy. The changes will be communicated to all staff with training provided as required. The information will also be updated on our intranet and website, online forms and all other relevant documents.

The Head of Business Improvement and Technology submitted a report (previously circulated, now appended) which proposed minor changes to the current Data Protection Policy to keep it in line with best practice and new guidance issued by the Information Commissioner.

 

Cllr Bob Price, Board member for Corporate Strategy, Economic Development and Planning presented the report.

 

The Head of Business Improvement and Technology explained that the Data Protection Officer was running bite size sessions and this training was also being given to temporary, agency staff and contractors. The e-learning module is being rolled out and in the last month almost 400 staff have done this module. She outlined a change to page 382 in the policy - a subject access request will be acknowledged within 24 hours not the 3 days stated.

 

The Executive Director of Community Services stated it was important people don’t make mistakes but also important for staff have the confidence to share data.

The report seeks the approval of the City Executive Board for a new Data Protection Policy to reflect the Data Protection Act amendments in 2008.

 

City Executive Board is asked to approve the Data Protection Policy and to note the new Data Protection guidance framework

 

 

Minutes:

The Head of Business Improvement and Technology submitted a report (previously circulated, now appended) seeking the approval of the Board for a new Data Protection Policy to reflect the Data Protection Act amendments in 2008. Jane Lubbock presented the report to the Board and explained the purpose of the proposed policy.

 

Councillor Price observed that Councillors needed clear instructions about the data that they held, and how it should be treated. The Board would welcome the appropriate registration of all Members as soon as possible, and the Head of Law and Governance was urged to arrange this.

 

Resolved to:-

 

(1)   Approve the Data Protection;

 

(2)   Note the new Data Protection guidance framework.
