Data Centre Review

Decision Maker: Executive Director (Communities & Customers) (Interim)

Decision status: Recommendations Approved

Is Key decision?: No

Is subject to call in?: No

Decision:

It was decided the Council would procure consultancy services to validate assumptions and options prepared by the Council’s ICT Services in the review of its data centre services and technologies. A revenue sum of £15,000 has been allocated for this work.

Reasons for the decision:

The first term of 5 years  +5 years contract concludes on 31 March 2021.

The base annual contract value increases as the number of applications being hosted and the amount of data being stored. The level of support provided is adequate for ordinary operations. However, all changes have an associated cost and place significant burdens on Council resources due to the high level of security assigned to this service, above the level generally required by the Council.

The current contract limits the options at the Council’s disposal for dynamic development of systems, tied into the shared environment and the higher level of security for local authorities in general.

Before agreeing to a further 5 year term it is important to assess the value for money of the existing contract and the degree to which the ‘green’ credentials of the chosen the solution can be improved.

Alternative options considered:

Options considered were:

·       Do nothing and renew the contract for a further 5 years

·       Migrate the current solution – to a less expensive one within the scope of the contract.
